Privacy Policy

1. Who we are
RingMate is operated by Skdaddle LLC (“RingMate,” “we,” “us”). This Privacy Policy explains how we collect, use, share, and protect personal information when you use our website, dashboard, embeddable widget, and related services (the “Service”).
For our business customers, this policy describes how we handle your data as a controller. For end customers contacting a business that uses RingMate, we typically process your information as a processor on behalf of that business; please refer to that business’s privacy notice as well.
2. Information we collect
Account information. When you sign up, we collect your name, email address, business name, phone number, and authentication tokens for connected services such as Jobber.
Lead and conversation data.When the Service handles an inbound web, SMS, or voice contact, we collect the content of the conversation, the caller’s phone number and (where provided) name, address, problem description, and scheduling preferences. Voice calls may be transcribed and, where you have configured this, recorded.
Billing information. Payment is processed by Stripe. We receive a token and metadata (such as last four digits of a card) but do not store full card numbers.
Usage data. We collect information about how you use the Service, including IP address, browser and device information, log files, page views, and feature interactions, via cookies and similar technologies and via tools such as PostHog and Sentry.
3. How we use information
We use information to:
- Provide, operate, and improve the Service;
- Run AI conversations and book appointments on your behalf;
- Authenticate users, prevent abuse, and protect the security of the Service and our customers;
- Process payments and manage subscriptions;
- Communicate with you about the Service, including transactional and support messages;
- Comply with legal obligations and enforce our Terms of Service.
4. AI processing
RingMate uses large-language-model providers (currently Anthropic) to generate messages and decide when to call tools such as “book appointment.” Conversation content is sent to these providers solely to produce the response. We instruct providers not to train on our data and select providers that contractually support that posture. We do not use Customer Data to train our own foundation models.
5. How we share information
We share information only as described below.
Service providers (subprocessors). We share information with vendors who help us run the Service. Current subprocessors include:
- Amazon Web Services— hosting (US);
- Supabase— database, authentication, storage (US);
- Twilio— SMS and telephony (US);
- Vapi.ai— voice agent infrastructure (US);
- Anthropic— AI model inference (US);
- Stripe— payment processing (US);
- Resend— transactional email (US);
- Sentry— error monitoring (US);
- PostHog— product analytics (US);
- Trigger.dev— background job processing (US).
Connected services you authorize. When you connect Jobber (or other schedulers in the future), we exchange data with that service strictly to perform the tasks you authorized, such as reading availability or creating jobs.
Legal and safety. We may disclose information if required by law, subpoena, or court order, or to protect rights, property, or safety.
Business transfers. If we are involved in a merger, acquisition, or sale of assets, your information may transfer as part of that transaction. We will notify you and any successor will be bound by terms no less protective than this policy.
We do not sell or rent personal information.
6. Cookies and tracking
We use first- and third-party cookies and similar technologies to keep you signed in, remember preferences, and measure how the Service is used. You can control cookies through your browser settings. Disabling cookies may impair Service functionality.
7. Data retention
We retain account information for as long as you have an account and for a reasonable period afterward to comply with our legal obligations. Lead and conversation data is retained for the duration of your subscription, plus 30 days after termination, after which it is deleted unless we are required to keep it longer. Aggregated, de-identified data may be retained indefinitely.
8. Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, encryption at rest at our hosting providers, role-based access controls, and audit logging. No system is perfectly secure, however; please notify us promptly of any suspected compromise of your account.
9. Your rights
Depending on where you live, you may have rights to access, correct, delete, port, or restrict processing of your personal information, and to object to certain processing. California residents have additional rights under the CCPA/CPRA, and residents of the EEA, UK, and Switzerland have rights under the GDPR/UK GDPR. To exercise these rights, email contact@skdaddle.com. We will respond within the time required by applicable law. If we process your information on behalf of a business that uses RingMate, we will refer your request to that business and assist them in responding.
10. International transfers
Our infrastructure is located in the United States. If you access the Service from outside the US, your information will be transferred to and processed in the US. Where required, we use appropriate safeguards such as Standard Contractual Clauses for transfers from the EEA, UK, or Switzerland.
11. SMS and call recording
The Service sends and receives SMS messages and may handle voice calls on behalf of the businesses that use it. Where calls are recorded or transcribed, we rely on the business that operates the phone line to obtain any required notice or consent from callers under federal and state law. Standard message and data rates may apply to SMS.
12. Children
The Service is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided personal information to us, contact contact@skdaddle.com and we will delete it.
13. Changes to this policy
We may update this policy from time to time. Material changes will be communicated by email or by notice in the dashboard at least 14 days before they take effect. The “Last updated” date at the top of this page reflects the latest revision.
